Summary: As a Conference and Meeting Coordinator, you will be responsible for assisting with the day-to-day management of the operation. The Coordinator will interact closely with all clients and associates to ensure seamless coordination of any operational needs.
Essential Duties and Responsibilities: Key Responsibilities:
o Handle all reservations and bookings for the Conference Center room.
o Responsible for daily “call-arounds” to confirm meeting details
o Responsible for menu coordination for upcoming events working with client and food service manager
o Tracks information in the database
o Ensures appropriate communication to operating departments including FOH, BOH, and Audio Visual
o Checks all conference rooms before client arrives for Polycom/AV requests
o Ensure Audio Visual equipment is set according to customer standards
o Ensures rooms are set according to customer standards by entering all details provided by clients
o Finalizes all planning details with clients and distributes to all operating departments
o Provides business center services when requested
o Rune end-of-day reports
o Enter Guest names into security system
o Performs other duties as assigned.
o Follows standard operating procedures for efficient business operations.

Qualifications:
• Proficient in Microsoft Office
• Two years of planning experience in hospitality industry
• Proactive mindset to anticipate and support changes in our business
• Keep abreast of industry trends and share information with staff
• Exceptional customer service abilities
Ability to maintain positive and calm demeanor in a fast paced environment
